Job Description Summary
Elizabeth House is seeking a highly organized, warm, and resourceful Office & Events Manager to help keep our organization running smoothly day to day.
This position serves as the administrative hub of Elizabeth House, supporting office operations, hospitality, scheduling, facilities coordination, events, communications, and organizational projects. The Office & Events Manager is often the first point of contact for visitors, donors, volunteers, vendors, and individuals seeking services and plays an important role in creating a welcoming and well-organized environment.
This is a hands-on role for someone who enjoys organizing people and projects, keeping track of details, solving everyday problems, and making sure things don't fall through the cracks. The ideal candidate takes initiative, follows through, can successfully manage multiple priorities and deadlines, and remains composed when plans change or unexpected needs arise.
Key Responsibilities:
Office Administration
Manage day-to-day office administration, including invoices and reimbursements, purchasing documentation, supplies, mail, records, and other administrative processes.
Maintain organized physical and digital filing systems, including SharePoint document management and record retention.
Coordinate vendors, maintenance, repairs, deliveries, purchasing, and other office and facility needs.
Maintain project timelines, task lists, administrative checklists, and follow-up systems to keep organizational commitments and deadlines on track.
Maintain Elizabeth House's organizational Master Calendar, including programs, events, Board meetings, trainings, facility use, major deadlines, and scheduled vendor visits.
Assist staff with basic technology, office equipment, meeting, and administrative needs.
Hospitality and Facilities Coordination
Serve as a warm and professional first point of contact for visitors, donors, volunteers, vendors, and individuals seeking services.
Answer and appropriately direct inquiries with professionalism, discretion, and sensitivity.
Help ensure the Center for Mother and Child Well-Being remains welcoming, organized, well-stocked, and functional.
Coordinate meeting and visitor logistics, including room setup, refreshments, materials, and technology
Event Planning & Coordination
Serve as the primary logistical coordinator for Elizabeth House events, including:
Annual Carnival and Christmas Party
Three to four alumni/community workshops each year
Baby showers for residents in partnership with hosting churches
Occasional donor, volunteer, staff, and community gatherings
Responsibilities include developing event timelines and budgets, coordinating vendors, food, rentals, supplies and volunteers, tracking RSVPs and expenses, and overseeing event setup and breakdown. The Office & Events Manager works collaboratively with program, development, community engagement, and leadership staff to ensure event logistics support the goals of each event.
Executive & Board Support
Provide administrative support to the Executive Director and Director of Finance and Administration.
Assist with preparation of monthly Board meeting materials, Board packets, and meeting logistics.
Coordinate administrative aspects of employee and intern onboarding and offboarding and maintain organized personnel documentation in coordination with leadership and outside HR support.
Prepare and handle confidential employee, resident, donor, financial, and organizational information with discretion.
Provide occasional communications and creative support, including creating flyers, invitations, signage, social media content, and other organizational materials using Canva and Elizabeth House branding. Depending on experience and interest, this may also include creating content for Elizabeth House's social media channels.
Donation & Community Support
Work with the Community Engagement Manager to coordinate the logistical aspects of in-kind donations and seasonal donation drives.
Help receive, organize, inventory, store, and distribute donated items and requested supplies for residents and alumni.
Maintain organized donation records and administrative information.
Qualifications
Bachelor's degree or equivalent combination of education and relevant professional experience.
At least two years of experience in office administration, operations coordination, event planning, hospitality, nonprofit administration, or a related field.
Strong organizational and project-management skills with demonstrated ability to manage multiple priorities, deadlines, calendars, and details.
Experience coordinating meetings, programs, or events from planning through on-site execution and follow-up.
Excellent interpersonal, written, and verbal communication skills.
Strong judgment, initiative, problem-solving ability, and attention to detail.
Ability to work independently, take ownership of responsibilities, and collaborate effectively with a small team.
Proficiency with Microsoft Office and cloud-based file management systems.
Ability to handle confidential information with discretion.
Experience working with vulnerable populations and the ability to engage residents and their children through a trauma-informed lens.
Commitment to Elizabeth House's mission and ability to work respectfully with people from diverse backgrounds.
Availability to occasionally work early mornings, evenings, or weekends for scheduled organizational events.
Valid California driver's license, clean driving record, and proof of personal auto insurance.
Preferred Qualifications:
Experience with Microsoft 365, SharePoint, Canva, or similar platforms.
Experience creating social media content for an organization, business, or nonprofit, including photography, short-form video, Reels, Canva graphics, and/or social media scheduling.
Experience tracking expenses, processing invoices or purchase requests, and working within established budgets.
Experience in a nonprofit, residential, transitional housing, maternal/child, church, or community-service environment.
Training in trauma-informed care, domestic violence awareness, or mental health first aid.
Physical Requirements
This is an active, on-site position that includes office operations and event setup and breakdown. The position requires the ability to stand and walk for extended periods during events and to lift and carry up to 25 pounds, with or without reasonable accommodation.
Employment Requirements
Employment is contingent upon successful completion of required background screening, including Live Scan fingerprinting, child abuse registry clearance, and TB clearance.
